Bulk Client Upload

If your institution already has a large list of clients, entering each client individually can take a considerable amount of time.

Savetime Calculator provides a Bulk Client Upload feature that allows you to prepare your client information in a CSV file and import many clients into the system at once.

This is particularly useful for institutions such as schools, estates, groups, and other organizations that already have a large number of clients.


Before You Begin

Make sure you have the client information you want to add to Savetime available.

You will enter the information into the Savetime CSV template before uploading it.

It is important to use the Savetime template rather than creating your own column structure. This helps the system recognize the information correctly during the import process.


Go to Bulk Client Upload

From your Client Accounts page, click:

Bulk Client Upload

This opens the page where you can download the CSV template, upload your completed file, validate the information, and import your clients.


Download the CSV Template

Click:

Download CSV Template

A CSV template will be downloaded to your device.

Open the template and enter your clients’ information in the appropriate columns.

Do not remove or rename the columns provided in the template unless the instructions for the current template specifically tell you to do so.


Enter Your Client Information

Enter the required information for each client in the appropriate row.

Take your time when entering the information and check it carefully before saving the file.

For example, a school may prepare a list containing its students and their relevant account and contact information.

Each client should have their own row in the CSV file.


Keep Your Information Accurate

Before uploading the file, check details such as:

  • Client names
  • Phone numbers
  • Account information
  • Contact information
  • Purpose or category
  • Other required information in the template

Pay particular attention to phone numbers and account information because these details can be important when identifying a client’s account later.


Save the Completed CSV

After entering all your clients, save the completed file as a CSV file.

Keep the file somewhere you can easily find it, such as your desktop or Downloads folder.

Do not upload a different file type unless the Bulk Client Upload page specifically provides instructions allowing it.


Upload Your Completed CSV

Return to the Bulk Client Upload page.

Scroll to the upload section and select your completed CSV file.

Upload the file to Savetime.


Validate the CSV

After uploading the file, click:

Validate CSV

Savetime will display the information from your CSV so that you can review the entries before they are imported.

This is an important step because it gives you an opportunity to check the information before saving the clients into the system.


Review the Validation Results

Carefully check the displayed information.

Look for things such as:

  • Incorrect names
  • Missing information
  • Incorrect phone numbers
  • Duplicate or incorrect account information
  • Information entered in the wrong column
  • Other errors identified during validation

If you find a mistake, correct the CSV file and upload it again before importing.


Import Your Clients

When you are satisfied that the validated information is correct, click:

Import Clients

Savetime will import the clients into your system.

Once the import has been completed, your clients will be available through the Client Accounts section.


Return to Client Accounts

After completing the import, use:

Back to Client Accounts

to return to the main Client Accounts page.

You can then continue with the next stage of your setup.


What to Do After Importing Your Clients

Importing your clients does not mean that their amounts due or payments have been entered.

After importing your client list, you will normally continue by:

  1. Creating the appropriate purposes.
  2. Setting up amounts due for your clients.
  3. Recording payments as they are received.
  4. Checking client balances and statements.

Why Use Bulk Client Upload?

Bulk upload is especially useful when you have many clients to add at once.

For example, instead of entering hundreds of students individually, a school can prepare the information in the CSV template and import the students together.

This can significantly reduce the amount of repetitive data entry required during initial setup.


Important: Review Before Importing

The validation stage is there to help you check your information before it becomes part of your client records.

Do not rush through this step.

Once you are satisfied that the information displayed by Validate CSV is correct, you can proceed with Import Clients.

Accurate client information at the beginning makes it easier to manage payments and statements later.


If You Only Have a Few Clients

You do not have to use Bulk Client Upload.

If you have a small number of clients, you can add them individually through:

Client Accounts → Portal Clients → Add Client

Choose whichever method is more convenient for your institution.
