Savetime Calculator allows an institution to control when employees can access the institutional system.

The System Opening & Closing feature is useful for institutions that want employees to access the system only during specified working hours.

For example, an institution may allow employees to use the system from 8:00 AM to 5:00 PM and prevent employee access outside those hours.

Open System Opening & Closing

After logging into your institutional account, go to:

System Access & Control → System Opening & Closing

This is where the institution owner sets the hours during which employees are allowed to access the institutional system.

Set Your Working Hours

Select the days and times when the institution’s employees should be able to access the system.

For example:

  • Monday — 8:00 AM to 5:00 PM
  • Tuesday — 8:00 AM to 5:00 PM
  • Wednesday — 8:00 AM to 5:00 PM
  • Thursday — 8:00 AM to 5:00 PM
  • Friday — 8:00 AM to 5:00 PM
  • Saturday — Closed
  • Sunday — Closed

You can set the schedule according to your institution’s actual working hours.

Select the Days the System Is Open

Each day can be enabled or disabled.

If a day is disabled, employees cannot access the institutional system on that day.

If a day is enabled, employees can access the system during the working hours set for that day.

This gives the institution flexibility to use different schedules for different days.

Set the Opening and Closing Time

For each enabled day, specify the time when employee access should begin and the time when it should end.

For example, if the institution opens at 8:00 AM and closes at 5:00 PM, employees can access the institutional system during that period.

Outside the permitted hours, employee access is restricted.

How This Works with Employee Permissions

System Opening & Closing and Employee Permissions perform different functions.

Employee Permissions determine what an employee is allowed to access.

System Opening & Closing determines when an employee is allowed to access the system.

For example, an employee may have permission to work with client accounts and enter payments. If the system is closed outside the institution’s working hours, that employee will not be able to access the institutional system during the closed period.

Both controls therefore work together to manage employee access.

The Institution Owner

System Opening & Closing is an administrative control for the institution.

The owner can set or change the institution’s working schedule according to the institution’s needs.

This allows the owner to maintain control over when employees can access the system without having to change each employee’s individual permissions.

Update the Schedule When Necessary

Working hours may change over time.

For example, an institution may:

  • Change its normal opening time.
  • Extend working hours during a particular period.
  • Close on an additional day.
  • Change weekend working arrangements.
  • Adjust its schedule during holidays.

When the institution’s working hours change, update the schedule under System Opening & Closing.

A Simple Example

Suppose a school normally operates from Monday to Friday.

The administrator sets the system to:

Monday–Friday: 8:00 AM–5:00 PM
Saturday: Closed
Sunday: Closed

An employee who has permission to enter client payments can therefore use the institutional system during the school’s permitted working hours.

When the system is closed, the employee cannot access the institutional system even though the employee still has their assigned permissions.

When the system opens again, the employee can log in and use the areas they have been permitted to access.

Keep Your Schedule Accurate

Set the working hours to match the institution’s actual operating schedule.

If the schedule is changed, remember that it affects employee access to the institutional system.

The schedule should therefore be reviewed whenever the institution’s normal working hours change.

Important Note

System Opening & Closing controls access time; it does not change an employee’s permissions.
