Checking Due Amounts and Viewing Client Statements

The Check Due Amounts page gives you a convenient way to monitor your clients’ billing and payment information.

You can use this page to see your clients’ account information, narrow the list by category, and open an individual client’s statement to review their payment history.

This is particularly useful for institutions that need to keep track of payments over a long period.


Go to Check Due Amounts

From the Client Accounts page, click:

Check Due Amounts

The page displays your client accounts in rows, allowing you to review their payment and due-amount information.

This gives you a central place to monitor the status of your clients’ accounts.


View Clients by Category

If you have many clients, you do not always need to view everyone at once.

At the top of the page, click:

View by Category

This allows you to filter the list and display clients belonging to a particular category or purpose.

For example, a school can use the category filter to view students belonging to a particular class or stream instead of searching through the entire client list.

This makes it easier to find the clients you are looking for.


View an Individual Client’s Statement

At the far right of each client row, you will find a:

View

button.

Click View to open that client’s statement.

The statement provides a record of the client’s billing and payment activity over time.

Depending on how long the client has been using your institution’s services, the statement can provide a continuing history of their account.


Use Statements to Track Payment History

A client’s statement allows you to follow the movement of their account over time.

For example, consider a student attending a school for several years.

Instead of looking at individual payment entries separately, the student’s statement provides a continuing record of their billing and payments throughout their time at the school.

This can make it easier to answer questions such as:

  • What amounts were billed?
  • What payments were recorded?
  • When were payments made?
  • What remains outstanding?
  • What has the client’s payment history been over time?

Print a Client Statement

If a client needs a physical or printable record of their account, you can print their statement from the statement page.

This can be useful when:

  • A client requests confirmation of their payments.
  • A parent needs a student’s payment record.
  • A resident requests an account statement.
  • A member wants a record of their contributions.

The statement can therefore serve as a useful record for both the institution and the client.


Giving Clients Access to Their Own Statements

You do not always have to provide statements manually.

If you want your clients to be able to check their own account information, they can create an account through the Client Portal.

They will need to use the same phone number that you entered for them in their client account.

Once their Client Portal account has been created, they can log in and view their account status and statements themselves.

This can be particularly useful for institutions with many clients because clients can check their information without having to contact the institution every time they have a question about their account.

Clients can also print their statements when needed.

A Simple Example

Imagine a school has hundreds of students.

The administrator wants to check the payment information for students in Form 4 Red.

They can:

  1. Go to Client Accounts.
  2. Click Check Due Amounts.
  3. Select View by Category.
  4. Choose the appropriate category.
  5. Find the student’s name.
  6. Click View.
  7. Review the student’s statement.
  8. Print the statement if required.

The same principle can be used by an estate, group, association, or other institution managing recurring payments.


When Should You Use Check Due Amounts?

You can use Check Due Amounts whenever you need to review the current status or payment history of your client accounts.

It is useful for:

  • Checking outstanding amounts
  • Reviewing payment activity
  • Finding a particular client
  • Viewing clients within a specific category
  • Opening individual statements
  • Printing client statements

Keep Your Records Accurate

The information displayed here depends on the information entered into the system.

For this reason, make sure that your client details, amounts due, purposes, and payments are entered correctly.

If a payment has been recorded against the wrong client or purpose, the client’s account and statement may not reflect the information you expect.
