Welcome to the Savetime Calculator POS community! We are thrilled to help you streamline your business management, track your inventory, and take control of your business profits.
Setting up your system is simple and takes just a few minutes. Follow this step-by-step guide to access your POS, activate it using M-Pesa, configure your business, and make your first sale.
When you visit our website for the first time, you may see a prompt on your screen that says “Install the Savetime App.”
We recommend installing the application directly on your device; smartphone, computer, or tablet. This creates a convenient shortcut for accessing Savetime Calculator whenever you need it.
Head over to the Savetime Relievers Official Website.
Click the Sign Up button located at the top right corner of the page and fill in your details.
Open your email inbox and look for our verification message. Click the link inside to verify your new account.
Return to the website and click the Log In button.
On the Access Page, select Personal / Business Access.
The Business Staff / Employee option is intended for staff members who have been given access to the business’s selling page. If you are the business owner setting up or managing your POS, use Personal / Business Access.
Enter the credentials you created during sign-up to enter your account.
Once you log in, you will arrive at your main account area (main dashboard).
Click the Inventory button to access your Savetime Calculator POS.
If your Inventory plan has not yet been activated, the POS management features will remain inactive until you complete the activation payment.
To activate your POS using M-Pesa:
Look for the payment option provided on the Inventory page.
Select your preferred Inventory Plan and payment cycle.
Enter the required payment details and carefully check that the selected plan is correct.
Click Pay via M-Pesa and follow all the steps including the confirmation of the plan you have chosen.
You will receive an M-Pesa STK Push on the phone number you provided.
Check the amount shown on your phone. If everything is correct, enter your M-Pesa PIN to authorize the payment.
Never share your M-Pesa PIN with anyone. Your PIN should only be entered into the official M-Pesa prompt on your own phone.
Give the system a few moments to process the transaction. Wait for redirection back to the main dashboard.
Click the Inventory button. Your POS management features will now be active.
Before adding items and making sales, complete the following foundational setup steps.
Go to the Manage Branches tab.
Even if you operate from only one shop, the system requires your business to be structured as a branch.
Click Add Branch in the top right corner, enter your shop’s details, and save.
Go to the Branch Users tab to create your business user access.
Use the required details, including your name, email and phone number, and select Owner from the role dropdown.
Create a secure branch password and click Add User.
Your Branch User credentials will be used when accessing the Sell Item page.
After creating your branch users, you can use POS Employee Permissions to control which POS pages and functions each employee is allowed to access. This allows you to give individual employees access only to the areas they need for their work.
Go to the Manage Suppliers tab to register the suppliers from whom you purchase stock.
You can add suppliers individually or save time by using the Bulk Supplier Upload option.
Simply download our supplier template, enter your supplier details according to the format provided, and upload the completed file to the POS.
If you purchase stock yourself from open markets and do not have specific suppliers, you can use a generic name such as “Self Supply” or “Main Market” so the system can properly record your stock purchases.
For more information about inventory setup, see Inventory Management Features in Savetime Calculator POS.
With your shop structure ready, click the Add New Product button to begin building your inventory.
If you have many products to add, you can save time by using the Bulk Product Upload option.
Simply download our product template, enter your product details according to the format provided, and upload the completed file to the POS.
Always name your products uniquely according to their specific sizes, variants, or weights.
If a product comes in multiple variations, do not use the exact same name for all of them. Each variant needs its own tracking history and Stock Card.
Incorrect:
Blueband
Blueband
Correct:
Blueband 500g
Blueband 1kg
This allows the POS to track the stock of each product variant separately.
For more information about adding and managing products, see Inventory Management Features in Savetime Calculator POS.
After setting up your products, go to the Financial Reports section in your Business Dashboard and open Business Opening Balances.
As a new user, enter the applicable opening balances for your business and save them.
These balances establish the financial starting point from which the POS will track your business activity going forward.
NB: This step is mandatory. Even if a particular opening balance is zero, enter 0 rather than leaving the field blank, and then save your opening balances.
This ensures that the system has a complete starting position for your business and allows your financial reports to reflect the correct financial position from the onset.
Your POS also helps you keep track of the expenses involved in running your business.
Use the Expense Management tab in the Business Management section to record your business operating expenses. Keeping your expenses up to date helps the system provide a more complete picture of your business performance and profitability.
For more information, see our guide on Managing Business Expenses.
When you are ready to serve customers, click the Sell Item button.
The system will prompt you for access. Log in using the Branch User credentials you configured in Step 4.
You can then search for or scan your products, select quantities, choose the appropriate selling price, process the customer’s payment, and complete the sale.
